Administration System Overview

1. Purpose​

The Administration System (System 06) is the bedrock of the organization. It provides the digital and physical infrastructure that enables all other systems to operate. It governs where work happens, who has access to it, and how information is secured.

2. Core Operational Pillars​

  1. IT Infrastructure: Management of the M365 tenant, hardware, and software licenses.
  2. Identity & Access Management (IAM): Ensuring the right people have the right access (and revoking it when they leave).
  3. Information Knowledge Management (IKM): The architecture of our file storage and "Source of Truth."
  4. Compliance & Governance: Data protection, backup, and legal compliance.

3. Tech Stack​

  • Microsoft 365 (Business Premium): The core OS for the business.
    • Entra ID (Azure AD): Identity management.
    • SharePoint/OneDrive: File storage.
    • Teams: Real-time communication.
    • Loop: Live documentation and wikis.
  • HubSpot: CRM and external-facing data.
  • 1Password: Password management for shared accounts.

4. The "Single Source of Truth" Philosophy​

We fight "Data Silos."

  • Structured Data (Clients/Deals): Lives in HubSpot.
  • Unstructured Data (Files/PDFs): Lives in SharePoint.
  • Process Knowledge (SOPs): Lives in MS Loop (System 05).
  • Rule: Never store business files on a personal desktop.

5. Interactions​

  • Service for All: Every new hire System 08 triggers a System 06 provisioning workflow.
  • Enabler for Content: Provides the storage architecture for System 05 (Content).
  • Guardian for Finance: Secures financial data for System 07.
