Offboarding & Knowledge Retention

1. The Goal

"Leave the campground cleaner than you found it." Whether voluntary or involuntary, offboarding must be secure, respectful, and knowledge-preserving.

2. The Timeline

T-Minus 2 Weeks (Resignation Received)

  1. Announce: Agree on a communication plan to the team and clients.
  2. Plan: Manager reviews workload and re-assigns MS Planner tasks.
  3. Knowledge Dump: Employee spends 50% of time creating/updating System 05 AKUs for their core tasks.

The Last Day

  1. Exit Interview: Conducted by System 08 Owner.
    • Question: "What would you change if you were CEO?"
    • Question: "Did you have the tools to do your job?"
  2. Hardware: Collect laptop/keycards (or send shipping label).
  3. Access: IT System 06 executes the "Kill Switch" (Revoke M365 access) at 5:00 PM.

Post-Exit

  1. Redirect: Email forwarded to Manager.
  2. Payroll: Final check + unused PTO payout processed by System 07.
  3. Alumni: Add to "Alumni Network" (optional).

3. Knowledge Retention Strategy

Before they leave, the employee must record Loom videos walking through their daily workflows.

  • Prompt: "Show me how you do [Task X] from start to finish."
  • Storage: These videos are tagged #Offboarding in the Content Engine.
