PPT to Knowledge Workflow
1. The Challenge
We have legacy knowledge locked inside PowerPoint slides. This workflow extracts ("liberates") that knowledge into reusable AKUs.
2. The Extraction Process (The "Chop Shop")
Step 1: Inventory
- Gather all PPTs into the
Inboxfolder. - Create a tracking sheet:
PPT Name | Status | AKUs Created.
Step 2: Decomposition (Slide-by-Slide Analysis)
For every significant slide, ask: "Is this a distinct concept?"
- Yes: It becomes a new AKU.
- No: It is merged into an existing AKU.
Step 3: Transcription & Expansion
- Text: Copy bullet points into the AKU
Detailssection. - Speaker Notes: Copy into the AKU
Scriptsection. - Visuals: Export the slide as an image -> Add to AKU
Visuals. - Gap Fill: If the slide is vague, the Content Manager interviews the SME to fill in the blanks.
Step 4: Tagging & Linking
- Apply tags per Knowledge Normalization.
- Add the new AKU ID back to the PPT tracking sheet.
3. Reverse Engineering (Building New PPTs)
Once knowledge is in AKUs, building a new presentation is fast:
- Define the Outline.
- Select relevant AKUs.
- Pull the "Visuals" and "Key Takeaways" from each AKU.
- Assemble into a new Deck.
