Publishing & Distribution Pipeline

1. Overview​

This pipeline defines how an AKU moves from "Draft" to "Public."

2. The Workflow Stages​

Stage 1: Creation (Draft)​

  • Actor: SME / Writer.
  • Tool: MS Loop / Notion.
  • Action: Write the AKU following the Normalization standard.
  • Gate: Self-Review.

Stage 2: Peer Review (Review)​

  • Actor: Editor / Content Manager.
  • Action: Check for clarity, tone, and formatting. Verify tags.
  • Gate: Approval.

Stage 3: Asset Production (Production)​

  • If Video: Record Loom/Studio clip using the Script.
  • If Visual: Create Canva graphic.
  • If PDF: Layout the One-Pager.

Stage 4: Distribution (Publish)​

Push to the required channels based on Tags:

  • Support: Copy to HubSpot Service Hub KB.
  • Marketing: Schedule Social Posts (Buffer/HubSpot).
  • Sales: Add to PandaDoc Content Library.
  • Product: Upload to LMS.

3. The "Update" Trigger​

If an existing AKU is modified:

  1. Minor Edit (Typo): Just save.
  2. Major Edit (Process Change):

4. Automation Opportunities​

  • Future State: Use Zapier/Make to auto-post to Slack #new-content when an AKU status changes to Live.
